Library – How To Use

Library resources cover all the clubs holdings for research.

They are microfiche, microfilm, Atlas and maps, CD’s, Reference books, Cemetery books, Journals-from various clubs and magazines.

The major part of our resources, are the reference, cemetery books and the journals.

Reference and cemetery sections which are sorted into subject areas, each subject area has a colour code for easy identification.

Within the subject area the books are sorted by the code usually found on the spine or front of a book along with the colour code. The code for the book is also on the inside front page along with its catalogue number. The books that can be taken out have a library card with the title, catalogue number and book code on it.

Reference Books Sections are:

  • Ireland (Colour code fluro yellowsquare)
  • Members/Family trees (Colour code medium white spot with small green spot insert)
  • Military (Colour code silver square with small red spot insert)
  • New South Wales (Colour code fluro pink square)
  • New Zealand (Colour code yellow square)
  • Northern Territory (Colour code silver square with pink star insert)
  • Not for Loan (Colour code green spot)

Cemetery reference books are first sorted by subject colour coded areas then are sorted by the code usually on the spine or front of the book along with its colour code. Each book has a reference number and the spine code on the inside of the first page. Most of the cemetery books are NOT FOR LOAN, thou there are a few that can be taken out.

  • New South Wales (Colour code green felt square)
  • New Zealand (Colour code fluro yellow square)
  • Northern Territory (Colour code large green spot with gold star insert)
  • Queensland (Colour code red felt square)
  • South Australia (Colour code large red spot)
  • Tasmania Colour code (large blue sport with small white spot insert)

Journals and Magazines section:

These are sorted into the various subject areas e.g. state or countries. Then in alphabetical order by the title of the journal or magazine, the old issues of magazines and journals are archived, in storage to allow more shelve space for the current issues.

When locating a book on a shelve:

When you have located a book on the shelve and you want to read it at the club, you use a wooden paddle which are located hanging at the end of each shelving. This wooden paddle is inserted into the spot where you took the book from. When you finish with the book put it back into the spot where the paddle is and replace the paddle back to the hanging position at the end of the shelve.

Books that have a fragile spine sticker on it, indicates that it is fragile, these books are not to be photocopied as displaying the book will split the spine creating loose sheets. There is a special timber book rest that you can use to help you read the book without bending the spine on it. Please ask those on duty for assistance.

If you can not find a certain book on the shelve you ask the person on duty to access the librarians computer which has a listing of all the resources split up into the various subjects. This will give you the colour coded area and the code for the book.

When borrowing books, journals and magazines:

After the club member has been ratified and approved at a general meeting, you are allowed to borrow one reference book or two journals/magazines, or two reference books or three magazines/journals for one month. When borrowing a book that is for loan you fill out the card with you name and date which is usually located at the back of the book and give the card to the person on duty, they will assign it to the clip in the library.

With the journals/magazines you fill out the form attached to the clip board in the library indicating your name the title and issue number.

When returning a book/journal or magazine:

After the month borrowing time you must return it to the club library returns basket which is located in the library area. The librarian will mark on the card the return date and replace the card into the book and return it to its right position on the shelve by its book and colour code. With journals/magazines they are marked off on the sheet by date returned and are returned back to its position on the shelves.
